About the company

The Library and Museum of Freemasonry is seeking two Records Assistants for a six-month period to organise the off-site storage of manual records within administrative departments by re-boxing records, preparing cover sheets, completing Record Transfer Lists, ensuring accurate recording of record descriptions, covering dates, retention periods, box numbers and audit information to ensure access to accurate details to ensure future retrievability.

What you'll be doing

As records assistants, you will be re-boxing records, recording accurate information about box contents, checking retention periods, preparing Record Transfer Lists and preparing boxes of records for transfer to off-site storage, in accordance with existing procedures and standards.You will be working closely with key stakeholders to understand what and how records are created, how they are stored currently, arranging off-site storage for non-current manual records and ensuring the future accessibility of manual records.

You will report to the UGLE Records Manager and liaise with the Archives Team in the Library and Museum of Freemasonry, working closely with the Registration department of the United Grand Lodge of England. You will work with the UGLE Records Manager and Archives and Records Manager of the Library and Museum of Freemasonry and legal representatives on utilising retention periods and General Data Protection Regulation (GDPR) requirements.

Why you’ll be hired

To be successful in this role you will be interested in using existing procedures for documenting records and ensuring the capture of accurate information about records to facilitate their future retrieval and access. You will have excellent attention to detail, while ensuring set targets are reached. You will be confident in using Excel spreadsheets to record accurate information about records being sent for off-site storage. You will be an excellent communicator, with an ability to build relationships across the organisation.

The records jobs would be ideal for someone who is interested in gaining relevant experience before applying for an archives/records/information management postgraduate course or those looking to build upon their existing records and archives experience. You will be expected to work independently, with support from the UGLE Records Manager, the Archives and Records Manager of the Library and Museum of Freemasonry and compliance professionals.

The salary is £30,000 per annum pro rata. The closing date for applications is 9th February. Interviews will be held week commencing 26th Febraury.
